# What Does a Property Management Company Actually Do Day to Day?

by [Tara Lezama](https://www.thebbgrouprealtors.com/coldwell-banker-vanguard-realty-blog/author/tara-lezama) | Oct 26, 2026

Most owners picture property management as a once-a-month event: a check shows up, maybe a text about a leaky faucet, and that's it. I understand why. From the outside, the job looks like paperwork and patience.

From the inside, it looks nothing like that. On any given day I might be writing a listing description before 9 a.m., fielding a maintenance call from a tenant whose air conditioner died overnight, running a background check on an applicant, and reconciling a security deposit ledger before an owner's year-end taxes are due. None of that shows up in a monthly statement. It just shows up as "rent collected, no issues to report."

That gap between what owners imagine and what actually happens is where a lot of self-managing landlords get into trouble, and it's also where a lot of them decide they're done doing it alone. So let's walk through what a property management company in Jacksonville actually does, hour by hour and month by month, not just the headline version.

## Filling the Vacancy Is a Full Project, Not a Listing Post

A property manager's day-to-day work on a vacant unit starts long before a tenant signs anything. Getting a property rent-ready and rented well is its own small project with several moving parts, and skipping any of them is usually where self-managing owners lose money.

### Pricing and preparing the unit

Before a property ever hits the market, a property manager has to price it against current comparable rentals in that specific Jacksonville submarket, not against what the owner paid or what a neighbor charges. That means pulling recent comparable leases, not just listings, since asking price and actual signed rent are often different numbers. It also means walking the unit to flag anything that will slow leasing down: dated fixtures, a smell that won't photograph well, a yard that needs attention before pictures go up.

### Marketing and showings

Listing syndication, photography, and answering inquiries are a daily task during a vacancy, not a one-time post. A property manager is fielding calls and texts from prospective tenants, scheduling and running showings, and following up with everyone who toured but didn't apply, because that feedback often explains why a unit is sitting.

### Application screening

Every application that comes in triggers a screening process: credit, eviction history, income verification, rental history, and a background check, run consistently against the same written criteria for every applicant. This is the part of the job with the most legal exposure if it's done casually, and it's also the part self-managing owners most often shortcut under pressure to fill a vacancy fast.

## What Happens After a Tenant Moves In

Placing a tenant is the visible milestone, but the operational work shifts rather than ends. A property manager's job moves from leasing to managing the relationship and the asset for the length of the tenancy.

Lease execution itself involves more than a signature. The lease terms, move-in date, pet or parking addenda, and any owner-specific provisions need to be documented and stored, along with a thorough move-in condition report with dated photos. That report is what protects both the owner and the tenant when it's time to assess the unit at move-out, and it's one of the most commonly skipped steps when owners manage on their own.

From there, day-to-day management becomes a mix of being reachable and staying proactive: answering tenant questions, sending lease renewal or rent increase notices on schedule, documenting any lease violations in writing, and keeping a paper trail on every interaction that might matter later. A tenant who's a day late on rent in month one is a different situation than one who's three months into a pattern, and the difference only shows up if someone was tracking it consistently the whole time.

## The Financial Side: Rent Collection, Accounting, and Owner Reporting

Money movement is one of the most time-consuming and detail-heavy parts of the job, and it's the part owners most often underestimate until they try to do it themselves across multiple properties or a full tax year.

On the collection side, a property manager is tracking due dates, sending late notices the moment a payment misses the grace period, assessing late fees consistently, and starting the non-payment process without the hesitation an owner might feel toward a tenant they know personally. On the accounting side, every dollar in and out needs to be logged against the right property: rent received, management fees, maintenance invoices, utility reimbursements, and security deposit funds, which in Florida have to be handled according to specific statutory requirements, not just kept in a general account.

Owners typically see the output of this work as a monthly statement and an annual summary for tax purposes, but the daily task behind it is reconciliation: matching bank deposits to rent rolls, following up on partial payments, and catching discrepancies before they compound across a full year.

## Maintenance, Repairs, and the Calls That Actually Come In

This is the part of the job that doesn't keep business hours. A property manager is the first call when something breaks, and the response has to happen whether it's a Tuesday afternoon or a Saturday at 2 a.m.

In a typical week, that might mean dispatching a vendor for a clogged drain, coordinating access for an HVAC repair while the tenant is at work, getting competing quotes on a larger repair like a water heater replacement, and deciding which repairs need owner approval versus which fall under a pre-authorized spending limit. It also means maintaining a reliable network of licensed, insured vendors who will actually show up, which in a market like Jacksonville, where storm season can spike demand for roofers and tree services all at once, is its own ongoing effort.

Consider a hypothetical: a tenant reports no hot water on a Friday evening. A property manager with an established vendor relationship can usually get a plumber out that night or first thing Saturday. An owner managing solo, without an existing vendor on call, is often starting from scratch at the worst possible moment, calling around for anyone who will answer.

There's also a documentation layer to every repair that owners rarely see. Each work order gets logged with the date reported, the date resolved, the vendor used, and the cost, because that history matters later, whether it's for warranty claims, insurance documentation, or simply knowing whether a particular unit is becoming a maintenance liability compared to the rest of a portfolio. A single AC repair is a minor event; four AC calls on the same unit in a year is a pattern an owner needs to know about, and that pattern only becomes visible if someone is tracking it consistently.

## Staying Ahead of Compliance, Documentation, and Insurance

The least visible part of property management is also the part that protects an owner the most: the paper trail. Every notice sent, every repair request logged, every communication with a tenant has to be documented consistently, because that documentation is what holds up if a dispute ever ends up in front of a judge.

### Fair housing consistency

Screening every applicant against the same written criteria isn't just good practice, it's the main defense against a fair housing complaint. A property manager has to apply income requirements, credit minimums, and background check standards the same way for every applicant, every time, regardless of who's asking or how sympathetic their situation is. That consistency is hard to maintain when an owner is managing a property personally and knows the applicants as neighbors or acquaintances.

### Notices and deadlines

Florida has specific requirements around how notices are delivered, what they have to say, and how much time a tenant has to respond, whether it's a late rent notice, a lease violation notice, or paperwork tied to an eviction filing. Getting the form or the timing wrong can delay the entire process by weeks, which is exactly the kind of mistake a property manager who handles these regularly is built to avoid.

### Insurance and risk coordination

A property manager also tracks whether a property's insurance coverage is current and appropriate, coordinates with the owner's insurance agent after a claim-worthy event like storm damage, and makes sure vendors working on the property carry their own liability coverage. In a market with Jacksonville's storm exposure, that coordination work tends to spike every hurricane season, often well before a storm actually makes landfall.

## What Owners Picture vs. What Actually Happens

The honest version of this job is less about any single dramatic task and more about consistency across dozens of small ones, every week, for every unit under management. Here's a simple comparison of the perception against the daily reality.

| Area | What Owners Often Picture | What Actually Happens Day to Day |
| --- | --- | --- |
| Leasing | Post a listing, wait for applicants | Pricing research, photography, showings, follow-up, and consistent screening on every applicant |
| Rent Collection | Rent arrives automatically each month | Daily tracking, late notices, fee assessment, and early action on non-payment |
| Maintenance | Occasional repair call | Ongoing vendor coordination, after-hours emergency response, and repair approvals |
| Compliance | Not something that comes up often | Fair housing-consistent screening, proper notices, and statutory deposit handling on every file |
| Owner Communication | A check and a call if something's wrong | Monthly statements, documentation of issues, and proactive updates before small problems grow |

## Frequently Asked Questions

### What does a property manager do that I can't do myself?

A property manager brings consistent systems, established vendor relationships, and the time to respond immediately, all of which are hard to replicate as a part-time, solo landlord. The legal side, like applying the same screening criteria to every applicant and handling security deposits correctly, is also where self-managing owners carry the most exposure.

### How often will I hear from my property manager?

Most owners get a monthly financial statement at minimum, with direct outreach any time something needs a decision, such as a larger repair, a lease renewal, or a tenant issue. The goal is for an owner to hear from their manager when it matters, not to be copied on every small task in between.

### Does a property manager handle maintenance emergencies?

Yes. A property manager is typically the first point of contact for tenants around the clock, which means coordinating emergency repairs like no heat, no hot water, or a plumbing issue outside of business hours, not just during a 9-to-5 window.

### Will my property manager find and screen tenants, or do I still have to approve them?

A property manager handles marketing, showings, and running the screening process, typically against written criteria the owner agrees to in advance. Many owners choose to review the final approval themselves, while others delegate that decision fully; this is usually spelled out in the management agreement.

### What happens if a tenant stops paying rent?

A property manager tracks the grace period, sends required notices promptly, and starts the next step in the process without the delay an owner might have out of personal hesitation. The exact process and notices required are set by Florida law and should be handled carefully and on schedule.

### External Authority Resources

For owners who want to go deeper on the standards and protections involved in rental housing, these are solid starting points:

[National Association of REALTORS®](https://www.nar.realtor) publishes research and guidance on rental housing trends and professional standards for real estate practitioners.

[U.S. Department of Housing and Urban Development](https://www.hud.gov) is the federal source for fair housing rules and rental housing program information that every landlord and property manager should be familiar with.
