# How Do You Choose the Right Property Manager in Jacksonville?

by [Tara Lezama](https://www.thebbgrouprealtors.com/coldwell-banker-vanguard-realty-blog/author/tara-lezama) | Sep 18, 2026

If you own rental property in Jacksonville, the right property manager should be licensed, transparent about fees, responsive to tenants and owners alike, and willing to put every term in writing. In short: ask hard questions before you sign anything, check for a real estate license, and pay close attention to how they communicate before a single dollar changes hands. I have spent 12 years in Jacksonville real estate and I manage property myself, so I want to walk you through exactly what I would ask if I were sitting across the table from a prospective manager.

## What Questions Should You Ask Before Hiring a Property Manager in Jacksonville?

You should ask about licensing, tenant screening, maintenance handling, communication habits, vacancy marketing, and contract terms before you hire anyone to manage your property. Each of these areas tells you something different about how a company actually operates day to day, not just how they market themselves. Here is how I would break down each one.

### Is the Property Manager Actually Licensed?

In Florida, individuals or companies that manage rental property for others in exchange for compensation are generally required to hold an active real estate license. This is well-established regulatory context in our state, and it exists to protect owners and tenants from people operating without accountability or oversight. Before you hire anyone, ask directly for their license number and the name under which it is held, then verify it yourself rather than taking their word for it. A manager who hesitates, changes the subject, or cannot produce a license number on request is telling you something important.

### How Do They Screen Tenants?

A serious property manager should be able to walk you through their screening process in plain language, step by step, without vague reassurances. Ask what they check: income verification, rental history, background and eviction history, and how they weigh those factors against each other. Ask how many applicants they typically place before finding one who qualifies, and ask what happens when an applicant is borderline. The goal is not to hear that they are "thorough." The goal is to hear specifics.

It also helps to ask how screening decisions are documented. A manager who keeps clear, consistent records of why an applicant was approved or denied is protecting you as much as the applicant, since consistent, well-documented decisions reduce the chance of a dispute down the road. If a manager cannot describe how they keep that documentation, that is worth noting.

### What Are Their Maintenance Response Times and Markup Practices?

Maintenance is where a lot of owners get surprised after the fact, so ask about it before you sign anything. Find out their typical response time for routine repairs versus emergencies, whether they use their own maintenance staff or outside vendors, and whether they add a markup to repair invoices. If there is a markup, ask what percentage it is and whether it is disclosed on every invoice or buried in the monthly statement. None of this is unreasonable to ask, and a manager who is proud of their process will answer without hesitation.

### How Often Will They Communicate and Report to You?

Ask exactly how often you will hear from your property manager and in what format. Will you get a monthly financial statement? Will you be notified immediately about a maintenance issue over a certain dollar amount, or only after the fact? Will you have a direct line to a person, or will you be routed through a call center or a ticketing system with no consistent point of contact? The answer tells you a lot about whether you will feel like a partner in the relationship or an afterthought.

### How Do They Market Vacancies?

Every day a unit sits vacant costs you money, so ask how a prospective manager markets an open property and how quickly they typically fill one. Ask where they list vacancies, whether they use professional photos, and how they set rent pricing. A manager who can only say "we post it online" without more detail may not have a real strategy for minimizing your vacancy period.

### What Do the Contract and Termination Terms Look Like?

Read the management agreement closely, and ask specifically about the length of the initial term, how fees are structured, and what happens if you want to end the relationship. Ask whether there is a cancellation fee, how much notice is required, and whether the contract automatically renews unless you take action. You should never sign a management agreement you have not read in full, and a manager who rushes you through this step is not someone I would trust with my property.

## What Red Flags Should Make You Walk Away From a Property Manager?

Vague fee structures, no written contract, a poor communication track record, and an inability to prove licensing are the clearest signs that you should keep looking. These are not minor inconveniences. They are early warnings about how the relationship will go once your money and your property are involved.

If a prospective manager cannot explain their fees in plain numbers, walk away. Every fee, from the monthly management percentage to leasing fees, renewal fees, and maintenance markups, should be written down and easy to understand. If they are unwilling to put the terms of your relationship in a signed contract, walk away. Verbal promises do not hold up when something goes wrong. If you ask past or current clients about responsiveness and hear a pattern of unanswered calls or slow follow-up, take that seriously. And if you ask for proof of an active Florida real estate license and do not get a straight answer, that alone should end the conversation.

One more red flag worth naming: a manager who cannot tell you, clearly and quickly, how many properties they currently manage or how they staff for that volume. Growth is not a bad thing, but if a company has taken on far more properties than they can realistically service well, you will feel it in slow callbacks and delayed maintenance, usually right when you need responsiveness the most.

## Should You Self-Manage or Hire a Property Manager?

The right answer depends on how much time you have, how far you live from the property, and how comfortable you are handling tenant issues and maintenance calls at any hour. The table below lays out the honest tradeoffs so you can weigh them for your own situation.

| Factor | Self-Managing | Professional Property Manager |
| --- | --- | --- |
| Time commitment | You handle every call, showing, and repair request yourself, often on your own schedule | Day-to-day tasks are handled for you, freeing up your time but requiring oversight of the manager |
| Tenant screening | You are responsible for finding and vetting your own screening process and staying current on fair housing rules | An established screening process is already in place, though quality varies by company |
| Maintenance coordination | You source and manage your own vendors and are the first call for any issue, day or night | The manager coordinates vendors and after-hours issues, though you should confirm markup practices |
| Cost | No management fee, but you absorb the time and stress of handling everything yourself | A management fee applies, which should be weighed against the time and risk it offsets |
| Distance from property | Works best if you live close to the property and can respond quickly in person | Removes the need to be physically near the property, which matters for out-of-town owners |
| Legal and compliance risk | You are personally responsible for staying current on landlord-tenant law and fair housing requirements | A licensed manager should carry that knowledge and responsibility, though you should still stay informed |

## What Makes The BB Group's Property Management Approach Different?

The biggest difference is that you get one relationship covering sales, property management, and financing, instead of juggling separate people for each part of owning real estate. Along with my colleague Nakiya Binder at The BB Group Realtors, part of Coldwell Banker Vanguard Realty, I built this practice so an owner never has to explain their situation to three different people who do not talk to each other.

I am also a Licensed Mortgage Loan Originator with Texana Bank Mortgage, NMLS #2619283, so when financing questions come up around a rental property, whether it is a refinance or help for a future buyer of that property, I can speak to that side of things directly rather than sending you elsewhere. And because I also actively list and sell property in Jacksonville and Northeast Florida, I understand the market value of what you own, not just its rent roll.

My management style is hands-on and personal. I do not believe in handing your property to a call center or a rotating cast of unfamiliar names. Before real estate, I served in the U.S. Army, and the discipline that comes with that background shows up in how I run this business: clear systems, follow-through, and accountability for what I say I will do. When I tell an owner I will call them back by a certain time, or that a repair will be handled by a certain day, that commitment gets kept, because that is how I was trained to operate long before I ever held a real estate license.

Since 2015, I have closed 203 transactions totaling $55,805,957 in volume, with an average sale-to-list ratio of 98.9% and a median of 20 days on market. That track record reflects the same attention to detail I bring to managing a rental property day to day. If you are weighing your options, I would also encourage you to use a free home-valuation tool to understand what your property is worth today, whether you are thinking about renting it, selling it, or both.

## Frequently Asked Questions

### Do property managers in Florida need a real estate license?

Generally, yes. Individuals or companies that manage rental property for others in exchange for compensation are typically required to hold an active Florida real estate license. Always ask a prospective manager for their license number and verify it yourself before signing an agreement.

### What is a typical property management fee?

Fee structures vary by company and by the services included, so there is no single standard figure I can point to. What matters most is that any fee, whether it is a percentage of monthly rent, a leasing fee, or a maintenance markup, is written down clearly and explained to you before you sign a contract.

### How long is a typical property management contract?

Contract length varies from manager to manager, and this is exactly why you need to read the agreement closely before signing. Ask about the initial term, whether it renews automatically, and what the process and any cost is if you want to end the agreement early.

### Can I switch property managers if I am not happy with my current one?

In most cases, yes, though the process depends entirely on the termination terms in your current contract. Review your agreement for notice requirements and any cancellation fees, and give proper written notice according to those terms before making a change.

### Should I hire a property manager if I live near my rental property?

Living nearby gives you the option to self-manage, but proximity does not eliminate the time commitment of screening tenants, coordinating maintenance, and handling calls at inconvenient hours. Some owners who live close by still prefer professional management simply to protect their time and reduce day-to-day stress.

### What should I ask about how a property manager markets vacancies?

Ask where they advertise a vacant property, whether professional photos are used, how they determine rent price, and how long their properties typically sit vacant before being leased. Specific answers, not general reassurances, are what you are listening for.

### What is the biggest mistake owners make when choosing a property manager?

The most common mistake I see is hiring based on the lowest advertised fee without asking any of the questions above. A low fee means little if it comes with slow maintenance response, poor communication, or a manager who cannot show proof of licensing. The cheapest option on paper is not always the one that protects your investment.
